CRM Total Cost Calculator

The subscription price is only part of what a CRM costs. This calculator adds setup, training, add-ons and yearly price increases to show the cost over one, three and five years. Everything runs in your browser — nothing you enter is sent anywhere.

Read this estimate carefully

Prices change and vendors add charges. Use the numbers on the vendor’s current price page, and add anything this form does not cover.

How to use it

  1. Enter the number of users and the monthly price per user.
  2. Add one-time costs (setup and training) and yearly extras.
  3. Enter an expected annual price increase, or 0.
  4. Read the total for the first year, three years and five years.

How it is calculated

  • Yearly recurring cost = users × price × 12 × (1 − annual discount) + add-ons + other recurring
  • Recurring cost in year n = year-1 recurring × (1 + increase)^(n − 1)
  • Total after n years = one-time costs + recurring costs of years 1 to n

Common questions

Why include one-time costs?

Setup and training are real costs of the first year, and they are often missing from price pages.

Which price should I enter?

The price per user per month for the plan you are considering, from the vendor’s current page.

Does it include the cost of my time?

Only if you add it under setup or training. Internal time is a real cost, so consider including it.
